Access for External Collaborators

The University has established a process for granting external people (e.g., non-UoM employed research staff) access to the University's research infrastructure. To apply for access for your external collaborators, please first refer to RCS's Terms of Service (ToS) and the definition of the Research Computing Activity Owner (RCAO).

Only the RCAO of an allocated project can submit access request for external user.

The RCAO must inform the nominated external user of the following responsibilities, and confirm in the Research IT infrastructure request that the nominated external user has agreed and accepted the terms as outlined below:

  • You will adhere to RCS's Terms of Service (ToS)

  • You will adhere to all the University of Melbourne statutes, policies and guidelines including the Provision and Acceptable Use of IT Policy (MPF1314) and the Information Security Policy (MPF1270)

  • You will not infringe copyright, including but not limited to downloading copyright material via peer-to-peer (P2P) file sharing

  • You will not apply an unreasonable burden on the network

  • You will not allow any other person to use your account(s)

  • You will use up-to-date antivirus software and regularly apply updates to your operating system and applications

  • The University is not liable for loss, damage or consequential loss or damage arising directly or indirectly from use of the infrastructure and associated software

Once the confirmation is received from the RCAO (as indicated in the ServiceNow ticket), access for external collaborators will be enabled. By default, external access is provisioned with a 12-month fixed-term period and can be renewed upon request by RCAO. 

To apply for access for your external collaborator, make a Research IT infrastructure request through ServiceNow (select service: Research Data Storage) or provide the above information in an existing relevant ServiceNow ticket.

Indicate that you would like to apply for access for external collaborator(s). For each user, provide the following information:

  • Indicate that they have seen and accepted the above conditions

  • First and last name

  • Email address

  • Organisation

  • The Mediaflux project they should have access to, and the project role that they should be assigned (e.g. participant-a for read-only access or participant-acmd-n for read-write access).
